We can make our life easy by preparing documents that we can use for several recipients, with perhaps minor adjustments:
- have one letter each for snail-mailing /e-mailing: - networks see sample documents here - another for intended sponsors/advertisers - another for journalists - a post for pasting on the Moonlight threads on the websites of the various networks: click here for links.
Below are links to sample letters/e-mails and address labels for these 3 types of recipients.
For snail-mail there are 3 useful tools: - sample letters for inspiration: feel free to use as you wish, paste, personalise, etc... - address labels: print & stick them on envelops/postcards, faster than writing addresses by hand! - personalising letters: address individually to their intended recipients in a quick and easy way.
For e-mails a quick trick is to send one e-mail to all the networks at once by copying and pasting all their e-mail addresses in the "To" field of the e-mail (each recipient does not see the others). For the list of e-mail addresses we have so far click here.
ADDRESS LABELS:
- Download these word documents for ready-to-print address labels, that you can stick on your envelops and / or postcards. This saves a lot of time compared to writing everything down by hand! It takes me about 2 hours to be-ready-to-post to all the sponsors we have (much of which spent positioning the labels correctly in the printer, and then waiting for the printer to be done with the letters while sticking the labels on the envelops!!!)
- These documents are for labels of the Avery 5160/8160 type (1"x2 5/8"; 25 x 67 mm). If you have a different kind of labels, e-mail me at diane31diane@gmail.com. Tell me what type of labels you have, and I will make the corresponding word document, e-mail it to you and put it here too for others to use. I already have all the necessary lists so it is really quick and easy for me, so please don't hesitate !!!
- You can buy labels at a stationary store, and use the documents provided here to print the addresses of the networks or sponsors on those. You can then stick them on envelops, etc...
- Before you print on labels however first print on paper and check how far off your margins are: you will probably need to adjust the margins in your document for it to print correctly on the labels (that's the irritating part), by clicking on the ruler bars (on the left and/or top).
SAMPLE LETTERS:
Even though we all have something different to say, and our letters are meant to be personal, for those of us who suffer from writer's block or just could do with extra inspiration, it is always helpful to have something to look at... Use these in whatever way you like, paste, add, modify at will. I will try to turn this into a growing collection as time goes by.
PERSONALISING LETTERS:
That is, inserting the name, address and greeting line corresponding to the individual/company you are writing to. There are 2 ways to do this: - use mail-merge (see below) - use one of the ready made word documents above; this is especially useful if you have easy and cheap access to a photocopier (I don't know about you, but my ink-cartridges bill is getting heavy...). These word documents, created using mail-merge, contain only the name, address and greeting line for the recipients corresponding to our lists. To use these, just leave space in your letters, make photocopies of the letter you intend using if it is the same one for all of those. Then put these photocopies in a printer as you would normal blank paper and print over them using that document (to check in what orientation the paper comes out, I make a mark on one of the corners of the page, and print something to see where the mark comes out). That saves lots of ink, and that way you don't even have to use mail merge.
MASS-MAILING TOOLS: Labels, etc...
Mail-merge makes it possible to personalise each letter by automatically inserting the address and name of the person/company that you are writing to. So you can have one sample letter for networks, use mail-merge to automatically insert the addresses and names, and at the end of the process you can further adapt your letters (to mention the shows that you like on these networks for example). It also allows you to create your own labels.
